What's
Lustrum
Lustrum event organized for EUROAVIA’s 65th anniversary this year is a day-long event where alumni who are members of the community and companies participating in the event will share their experiences. Within the scope of the event filled with panels and conferences, opinions about EUROAVIA’s past and future will be discussed, and participants will be informed about the opportunities that come with being a member of this community. At the end of the event, during the gala dinner, participants will have the opportunity to establish a network with the attending companies and guests.
EMEAC
EMEAC, annually organized Electoral Meeting of the EUROAVIA Congress, where candidates for the international board are determined, with the participation of nearly 50 people from various Affiliated Societies (AS). It is a congress where young engineers interested in aviation and aerospace can represent their AS and have the right to vote on decisions related to the future of the EUROAVIA, as well as an opportunity to network with each other. Additionally, during the a week period of their participation, they will have the chance to explore our beautiful city, Istanbul and take advantage of its opportunities.

Application & Cancellation Rules
The number of participants for the LUSTRUM & EMEAC will be 40 to distribute among the (P)AS/AM and 10 for the working groups.
The number of Students for the LUSTRUM will be 30.
For the Lustrum, 6 places are reserved for the Lustrum Task Force, a group responsible for planning the program and materials for the Lustrum. After the deadline for the Lustrum Task Force, all vacant reserved places of the Task Force will become available for general applicants.
4th of December 2023 at 18:00 UTC – The first round of applications opens.
The EMEAC & Lustrum applications are processed as “first-come first-served”. To promote the diversity and to ensure the Quorum for the Congress, priority will be given to the first (1) member of each (P)AS/AM/WG.
For Congresses, the (P)AS/AM/WG has the possibility to deliver a priority list for their participants.
23th of December 2023 at 22:59 UTC – Applications for Lustrum Task Force closes.
30th of December 2023 at 22:59 UTC – The first round of applications closes.
The second round of applications will be opened with the same criteria as above in case:
– the quorum is not reached;
– the minimum number of participants is not reached.
8th of January 2024 at 18:00 UTC – The second round of applications opens.
21st of January 2024 at 22:59 UTC – The second round of applications closes.
If there are still vacancies, they will be filled with the people on the waiting list always following the same criteria as above.
Application process on the website will only be for students.
Alumni will be personally invited and sent a form where they can apply.
There will be a quota reserved for Lustrum Task Force.
The participation fee is:
– 150€ (EUR 150) for the EMEAC & Lustrum
– 140€ (EUR 140) for the only EMEAC
– 80€ (EUR 80) for the only Lustrum (Alumni) with accomodation
– 40€ (EUR 40) for the only Lustrum (Alumni) without accomodation
– 50€ (EUR 50) for the only Lustrum (Student)
EMEAC (Electoral Meeting of the EUROAVIA Congress) & Lustrum
The participation fee covers eight(8) nights (from the 29th of March to the 6th of April 2024) of accommodation, every meal, including welcome dinner, final dinner, gala dinner and transportation to the venue of the event.
The payment information regarding the participation fee will be provided to the participants via email, once confirmed.
Travel costs to Istanbul will be covered by each participant.
EUROAVIA Istanbul will not provide accommodation outside of the event dates. However, if a participant needs to stay extra days, EUROAVIA Istanbul will assist him/her in finding proper accommodation.
EMEAC (Electoral Meeting of the EUROAVIA Congress)
The participation fee covers six(6) nights (from the 31st of March to the 6th of April 2024) of accommodation, every meal, including final dinner and transportation to the venue of the event.
The payment information regarding the participation fee will be provided to the participants via email, once confirmed.
Travel costs to Istanbul will be covered by each participant.
EUROAVIA Istanbul will not provide accommodation outside of the event dates. However, if a participant needs to stay extra days, EUROAVIA Istanbul will assist him/her in finding proper accommodation.
Lustrum (Alumni)
Both participation fees cover every meal, including welcome dinner and gala dinner. The option “with accomodation” covers two (2) nights of accomodation too (from the 29th of March to the 31st of March 2024).
The payment information regarding the participation fee will be provided to the participants via email, once confirmed. Travel costs to Istanbul will be covered by each participant.
EUROAVIA Istanbul will not provide accommodation outside of the event dates. However, if a participant needs to stay extra days, EUROAVIA Istanbul will assist him/her in finding proper accommodation.
Lustrum (Student)
The participation fee covers two(2) nights (from the 29th of March to the 31st of March 2024) of accommodation, every meal, including welcome dinner, gala dinner and transportation to the venue of the event.
The payment information regarding the participation fee will be provided to the participants via email, once confirmed.
Travel costs to Istanbul will be covered by each participant.
EUROAVIA Istanbul will not provide accommodation outside of the event dates. However, if a participant needs to stay extra days, EUROAVIA Istanbul will assist him/her in finding proper accommodation.
*Due to the quota limitation in the guest house and preferences, different accommodation options may be offered.
In the case that a member has been confirmed by the organising committee to participate in the EMEAC 2023 but, for any reason, he/she is unable to participate in the event, he/she has the option of cancelling the participation. In order to do so, the member will have to send an email to the organising committee (istanbul@euroavia.eu) stating the reason for the cancellation and the participation fee will be partially/fully paid, based on the following criteria:
Before the 31/01/2024 at 22:59 UTC: 0% cancellation fee
31/01/2024 (23:00 UTC) – 08/02/2024 (22:59 UTC): 25% cancellation fee (37.5 €)
08/02/2024 (23:00 UTC) – 17/02/2024 (22:59 UTC): 50% cancellation fee (75 €)
17/02/2024 (23:00 UTC) – 26/02/2024 (22:59 UTC): 75% cancellation fee (112.5 €)
From 26/02/2024 at 22:59 UTC: 100% cancellation fee (150 €)
If the member cancels his/her participation, the respective Local Group or WG is responsible for transferring the cancellation fee to the event organisers, under the condition that his/her place cannot be filled by someone else on the waiting list.
Participants on the waiting list that are admitted due to cancellation will have the possibility to cancel within one (1) week from receiving the acceptance email without paying a cancellation fee.
After this week, the cancellation fee will be according to the periods listed above.
Location
Our guest house on our ITU Maslak campus, located in Sarıyer district and away from the noise of the city but close to the city center and transportation networks, will host our participants throughout the event process and will also offer them the opportunity to access all facilities on campus.
Istanbul Technical University (ITU) is one of Turkey’s oldest and leading technical universities. Founded in 1773, ITU is known as the country’s first technical university and is recognized as one of the pioneering educational institutions in science, engineering, and technology in Turkey.
ITU’s main campus is located in the Maslak district of Sarıyer, Istanbul. The university consists of 13 faculties, 6 institutes, 1 conservatory, and various research centers and laboratories, comprising a broad academic structure. ITU offers a wide range of undergraduate, master’s, and doctoral programs in various disciplines.
ITU contributes significantly to Turkey’s technological and industrial development through scientific research and projects. It also organizes various national and international events, conferences, and seminars.
